PROVIDING PERSONAL DATA VIA THE OFFICIAL REGISTRATION FORM

By providing your personal data during official registration, you accept that the Plantin Institute processes this data.

The institute may also use your data to invite or inform you about activities that could enhance your educational and career opportunities.

Alumni Organization

Personal data required for postal or digital contact after completing a course is automatically shared with the alumni organization, Initiaal. Graduates’ data is only used by Initiaal to invite you to their activities. You are free to prevent this.

Staff

The Plantin Institute processes personal data you provide during a job application for recruitment and selection purposes.

Personal data provided upon employment is processed for personnel administration.

For payroll administration, we collaborate with SD Worx.

Legal basis: Contractual obligation – necessary for fulfilling contractual agreements. Legitimate interest – regarding information provided to staff members.

Event Registration

The Plantin Institute processes personal data provided by the registrant to facilitate events. With your consent, your data may also be used to provide additional information about our courses, study visits, symposia, and other events.

Archiving for Cultural and/or Public Interest Reasons

In specific cases, personal data may be retained for cultural and public interest reasons.

Legal basis: Legal obligation or Public Interest (Freedom of Information Act).


Retention Period

The Plantin Institute never retains personal data longer than necessary.

Student data is retained as long as they have a relationship with the institute, potentially longer with the student’s explicit consent or based on a legal obligation. Data provided during pre-registration is retained for three years and transferred in case of official registration.

Staff data is retained as long as they are employed by the institute, except for data that must be retained by law.

Personal data processed for event registration is retained for three years.


Rights of the Data Subject

As a data subject, you have the right to access your personal data. You can also request its correction, deletion, or restriction.

You also have the right to transfer your personal data either to yourself or a new data controller, provided this is technically feasible. When making such a request, you must identify yourself beforehand.

You can withdraw your consent at any time without affecting the lawfulness of data processing based on the previously granted consent.
